How to Let Clients Reschedule Themselves Without Losing Control

Stop rescheduling by text: give clients one link to move their own appointment, set a cutoff for free changes and keep ready replies for the rest.

Problem this guide fixes

Clients text to move appointments at all hours, you go back and forth finding a time, and some move the same booking again the morning of.

Quick answer

Give every client a private link to move or cancel their own booking, set a reschedule cutoff (for example 24 hours before), and only show times that are actually open. Inside the cutoff, the link stops offering new times and the client has to cancel under your policy or contact you.

What the research showed

On the Calendly Community, a user asked in March 2024 how to limit rescheduling; staff said fees can't be automated and passed the request to the product team. Calendly's own help center says it displays your cancellation policy but doesn't restrict cancellations or reschedules based on it. Salon owners on SalonGeek split on letting clients reply to reminders to change appointments: some were fine with it, others blocked replies so clients had to call.

Root cause: Rescheduling happens in a chat instead of a system. Every change needs you to check the calendar, offer times and confirm, and nothing stops a move at the last minute.

Key takeaway

Move rescheduling into a link with rules: open times only, a cutoff you choose, and your policy shown at the moment the client decides.

  1. Set a reschedule cutoff separate from the cancel window

Moving an appointment two days ahead is fine; moving it two hours ahead leaves you with an empty slot. Pick the latest point a client can move a booking for free. It can match your cancellation window or be stricter.

    • Most services: 24 hours.
    • Long or prep-heavy services: 48 hours.
    • If you have a waitlist and fill gaps easily, a shorter cutoff is fine.
  2. Send one link everywhere

The same link should be in the booking confirmation, every reminder and your replies. When clients know where to change a booking, they stop opening a chat to ask.

  3. Only offer times that are actually open

Self-rescheduling only saves time if the client sees real availability for the same provider and service length. Otherwise you're back to confirming by hand.

  4. Decide what happens inside the cutoff

When the cutoff passes, the link should stop offering new times. The client can still cancel under your policy or contact you, and you decide case by case.

    Policy line
You can move your appointment online up to [24] hours before it starts. After that, contact us and we'll help if we can; late cancellations follow our cancellation policy.
  5. Use ready replies for the requests that still come in

Some clients will always text. Answer with the link instead of a list of times, so the next change happens on its own.

    Reply to a reschedule text
Hi [Name], you can move your appointment to any open time here: [link]. Changes are free until [cutoff].
    Reply inside the cutoff
Hi [Name], your appointment is in less than [24] hours, so it can't be moved online. I'll check whether I can fit you in [Day]. If you need to cancel, our late cancellation fee of [$X] applies.
    Reply to a repeat mover
Hi [Name], happy to move it once more. To keep this time for you, future bookings will need a [$X] deposit, which comes off your total.

Checklist

  • Each service has a reschedule cutoff in hours.
  • The change link is in the confirmation, every reminder and your replies.
  • The link only shows open times for that provider and service.
  • Inside the cutoff, online rescheduling stops and your policy applies.
  • You have saved replies for reschedule texts.

Calendefy workflow

  1. Services → open a service → Booking policy → Reschedule up to: the number of hours before the start when online rescheduling closes. Cancel up to is set separately.
  2. Every booking gets a private link. Clients don't need an account to open it.
  3. On that page, clients pick a new date and see only open times for their provider, based on that provider's hours and existing bookings.
  4. The page shows Reschedule online until with the exact cutoff. After it passes, the Reschedule option disappears and only Cancel remains, with a late-cancellation warning.
  5. Reminder emails include the same Manage link once email delivery is configured.
  6. Staff can still move any booking from Calendar → open the booking → Edit.

Questions owners ask

Use a booking system that gives each appointment a private change link, shows only open times and stops online changes after a cutoff you set. Put that link in the confirmation and every reminder.
