Problem this guide fixes

Clients forget appointments even though you remind them, or they reply to reminders with questions and reschedule requests you have to handle one by one.

Quick answer

A reminder text that works names your business, the service, the day and time, and gives one clear action: a link to confirm, reschedule or cancel. Send a confirmation at booking, a reminder a day or two before, and a short same-day reminder for long or high-risk appointments.

What the research showed

Salon owners on SalonGeek (2010) disagreed about timing: some texted the day before, some two days ahead, and one stopped reminders after they seemed to prompt last-minute cancels. They agreed on content: the time, a professional sign-off from the business, and a clear way to change the booking. In a 2019-2020 no-show thread, a reminder asking clients to reply to confirm worked for one owner, though not for every client. Detailers on AutoGeek describe confirmation at booking and a call or text one to two days before so a cancelled slot can be refilled.

Root cause: Reminders are written as notices instead of instructions. They tell the client something is happening but not what to do if plans have changed, so clients either ignore them or start a text conversation.

Key takeaway

Ask for consent at booking, send a few short reminders at fixed times, and make every message end with one action, ideally a link the client can use without messaging you.

  1. Get consent when the client gives their number

CTIA's messaging guidelines treat appointment reminders as informational messages: the client should agree to receive texts for that purpose when they give you their mobile number. Ask at booking, and keep a record of who agreed.

    • Add a line near the phone field, such as "We'll text appointment reminders to this number."
    • Don't add promotions to reminder texts. A sales offer can move the message into the promotional category, which needs separate written consent.
    • Honor opt-outs right away.
  2. Pick a simple timing schedule

Owners in salon and detailing forums use the same few touchpoints. Start here, then drop any reminder that isn't helping.

  3. Write each message with the same five parts

Who it's from, what it's for, when, where, and what to do. The action matters most: one link to change or cancel saves you a text thread.

    Booking confirmation
[Business]: You're booked for [Service] on [Day, Date] at [Time]. Change or cancel: [link] Reply STOP to opt out.

This is a reminder of your [Service] with [Provider] on [Day, Date] at [Time] at [Address].

Need to reschedule or cancel? Use your booking link: [link]. Changes are free until [cutoff].

    See you soon,
    [Business]
  4. Use a link, not "reply CANCEL"

Words like STOP, CANCEL, END, QUIT and UNSUBSCRIBE are standard opt-out keywords. Twilio's default list includes CANCEL, so a client who replies "CANCEL" to your reminder may be unsubscribed from all your texts instead of cancelling the appointment. Give a link for changes, and use STOP only for opting out.

    • If you ask for a reply, use a word that isn't an opt-out keyword, such as "Reply Y to confirm".
    • Include "Reply STOP to opt out" at least in the first message.
  5. Keep texts short and plain

A standard SMS segment holds 160 plain characters. One emoji or a curly quote switches the whole message to a format that fits only 70 characters per segment, so a two-line reminder can become several billed messages.

    • Aim for under 160 characters, including the link.
    • Skip emoji and smart quotes in SMS.
    • Put the business name first so clients recognize the sender.

Calendefy workflow

  1. Reminders → Add default reminders creates a 24-hour and a 2-hour email reminder with the client's name, the service, your business name and the time.
  2. Calendefy's automatic reminders are emails. They send once email delivery is configured; until then, each reminder shows Not sending.
  3. Every reminder email names your business and includes the client's Manage link, so they can reschedule or cancel without texting you.
  4. The Manage link opens the client's private booking page, which shows the free-change cutoff, any fees and your refund policy, the same rules the booking page showed before they booked.
  5. Calendefy doesn't send texts. Use the text templates above when you message clients from your own phone, and paste the client's Manage link from the booking.

Questions owners ask

Your business name, the service, the day and time, the location or call link if needed, and one action: a link to confirm, reschedule or cancel. Keep it under 160 characters for SMS.
