Missed bookings per week = appointments per week × (no-show rate + late-cancel rate).
Lost revenue per week = missed bookings × average ticket. It assumes missed slots are not filled again.
Deposit or fee per booking = deposit % × average ticket, or your fixed amount (never more than the ticket).
Recovered per week = missed bookings × deposit or fee × share you actually collect.
Monthly = weekly × 52 ÷ 12. Yearly = weekly × 52.
How to find your own rates
Count booked appointments over the last 8 to 12 weeks.
No-show rate = no-shows ÷ booked appointments × 100.
Late-cancel rate = cancellations inside your notice window ÷ booked appointments × 100.
Questions
Multiply appointments per week by your no-show and late-cancel rates to get missed bookings, then multiply by your average ticket. Multiply the weekly figure by 52 for a year. This assumes the missed slots are not filled again.
It varies widely by business, service and client base, so this calculator doesn't assume one. Count your own: divide no-shows by booked appointments over the last 8 to 12 weeks.
Businesses use either a fixed amount or a percentage of the service price. Compare a few options in the calculator: a larger deposit recovers more of each missed booking, and a smaller one is easier for new clients to accept.
A deposit won't prevent every no-show. It makes sure part of the lost time is paid for. Clear policies and reminders before the appointment also help clients remember and reschedule in time.
