What Calendefy doesn't do

  • Calendefy doesn't charge a saved card automatically (fees go out as an invoice link), has no POS hardware, no client CSV import, no memberships or gift cards, and no marketplace beyond an opt-in profile. Reminders are sent by email once email delivery is set up; Calendefy doesn't send text messages.

Switching from Square Appointments

  1. Save your client list and upcoming appointments from Square Appointments before you change anything.
  2. Create a free Calendefy account and add your services with prices, lengths, deposits and fee rules.
  3. Add your staff and their hours.
  4. Add clients by hand. There's no CSV import yet, so start with clients who have upcoming bookings.
  5. Re-create upcoming appointments on the Calendefy calendar.
  6. To take deposits or card payments, upgrade to Pro or Annual and connect your Stripe account. Set up email reminders.
  7. Share your new booking link. Keep Square Appointments until your existing bookings are done, then cancel under their terms.

Questions

How much does Square Appointments cost?

On November 1, 2026, Square's US pricing page listed Free at $0, Plus at $49 and Premium at $149 per month, per location, with custom Square Pro pricing over $250,000 a year. Processing fees depend on the plan. Check squareup.com for current prices.

Does Square Appointments Free include no-show fees?

Square's feature table lists cancellation policy and no-show fees on Plus and Premium, not Free. Appointment deposits are listed on all plans.

Does Calendefy work with card readers?

No. Calendefy has no POS hardware. Clients pay deposits and invoices online through your Stripe account, and you record cash, check or bank transfer payments by hand.

Can I move my Square clients into Calendefy?

Not by file import yet. Add clients by hand, starting with those who have upcoming bookings.
