Problem this guide fixes

You finish the job, send an invoice, and then spend weeks sending awkward reminders to clients who pay well but late.

Quick answer

Collect part of the price before the work, send the invoice the same day as a link the client can pay from their phone, state a short due date, and follow up on a fixed schedule. Most late payments come from unclear terms and invoices that are hard to pay, not from bad clients.

What the research showed

On Alignable, a small business owner asked how to handle valuable clients who only pay after repeated chasing; replies (2018) recommended deposits before starting, payment due on the invoice instead of long terms, a fixed reminder schedule and, for persistent cases, payment plans or collections. Detailers on AutoGeek (2013) described collecting at completion, inspecting the work with the customer before handing back the car, and chasing mobile customers who weren't home when the job finished. LawnSite threads on customers who only pay after service, which we could only see as search summaries, point to prepaying or keeping a card on file.

Root cause: Payment is treated as a separate task after the work, with vague terms, an invoice sent days later and no easy way to pay. Each extra step is a reason to put it off.

Key takeaway

Make paying part of booking: money upfront where it's reasonable, the invoice the same day, a link that takes a card, and reminders that go out on a schedule instead of when you remember.

  1. Take money before the work where it's reasonable

A deposit or partial payment at booking means a late or missing final payment is never a total loss. Owners in the Alignable thread described taking half before starting custom work.

    • Big jobs, events and sessions: a deposit or retainer at booking.
    • Regular visits: payment at the appointment.
    • Repeat late payers: prepay before the next booking.
  2. Agree the terms before you start

State when payment is due and how to pay in the quote, proposal or booking confirmation, not first on the invoice.

    Payment terms line
A [$X / X%] deposit is due at booking. The balance is due [on completion / within 7 days of the invoice] by card through the invoice link, or by cash or check.
  3. Invoice the same day, as a link

The payment clock starts when the client gets the invoice. Send it before you leave the job or the same evening, as a link they can open and pay on their phone.

  4. Make every way of paying easy

Card for most clients, cash or check for others. Record offline payments right away so you never chase someone who already paid.

  5. Follow up on a schedule, with the same messages

A fixed schedule takes the awkwardness out. You're not judging the client, you're following your process.

Calendefy workflow

  1. Proposals: send a proposal as a private link; once the client accepts, it turns into an invoice.
  2. Invoices → open an invoice → Share: send the private invoice link. With Stripe connected (Pro or Annual), clients pay the balance by card from their phone.
  3. Record payment on the invoice for cash, check, bank transfer or other payments. Deposits and partial payments show the invoice as Partly paid, with the Balance due.
  4. Invoices past their due date show as Overdue on the Invoices list, so you know whom to follow up with.
  5. For appointments, take a deposit per service at booking, and use Calendar → open the booking → Record payment for what's paid at the visit.
  6. Calendefy doesn't send invoice reminders or recurring bills automatically; use the follow-up messages above.
